Council agenda and minutes done differently*
Located in Tasmania, Devonport City Council embarked on a digital transformation journey, focusing on implementing a cloud-first strategy and moving all systems to Software as a Service (SaaS) platforms.
Harbour Software, a technology software provider for local governments, worked with Devonport City Council to implement Doc Assembler, a cloud-based application that enables governance staff to generate and distribute agendas and minutes to management and Council members – anywhere and anytime.
Fully integrated with Office 365 and SharePoint, Doc Assembler assimilated into Council’s technology environment seamlessly, allowing multiple users to edit and collaborate on a document at one time.
End users were able to easily produce and manage agendas prior to meetings as well as monitor their allocated action items within the meeting minutes.
Devonport City Council Deputy General Manager, Jeff Griffith said the comprehensive agenda and minute solution provided immense benefits for the Council.
“It is easier for our employees to develop and collaborate on reports compared to the previous solution.
“There was a high degree of complexity supporting the competitor product that we had been using and most importantly it did not support cloud hosting and SharePoint integration.
“Creating agendas took multiple hours whereas with Doc Assembler that can be done in a matter of minutes. This resulted in a tremendous amount of admin labour savings and reduced employee frustration.
“Harbour Software understood our requirements and worked with us to deliver quality outcomes. The post implementation service has been very good. If our users had any issues that needed to be resolved, they were quick to respond and guided us in the right direction.”
