Automated paperless procurement*

The City of Kalgoorlie-Boulder has led the way in the adoption and implementation of IT Visions Automated Paperless Procurement (APP) Cycle workflow solution.

Implementation during last financial year included all of the critical success factors Ė People, Process and Tools. Along with the SynergyAPS software which is a tightly integrated workflow component of the SynergySoft Enterprise suite, was the implementation of relevant business processes and an organisational cultural change in relation to requisitioning and procurement.

One of the key business drivers for Kalgoorlie-Boulder was the latent inefficiency that exists so often in the traditional manual, paper-based, multi-intervention approach to purchasing and procurement.

Recent research indicates that removing the unnecessary and/or redundant human-paper interaction within an organisationís
purchasing cycle can:
  • reduce purchase order processing costs by up to 60 percent
  • reduce order processing time by up to 80 percent
  • mitigate financial risk by controlled compliance with defined purchasing parameters
  • shift employee focus from paperwork inputs to productivity outputs.
The City of Kalgoorlie-Boulder only completed their implementation in January 2014, and are already starting to see significant results in each of these key areas. Plans are already underway to expand the reach of the electronic purchasing process;  there will be the ability to review, approve and progress requisitions and purchase orders using web-connected mobile devices such as iPADs via IT Visionís SynergyMobility suite.

Many councils have been watching the progress and success of this project closely as they weigh up the positive impact to their businesses and significant return on investment.
